Booking Terms & Regulatory Disclosures

Last Updated: October 2026. Important operational and legal guidelines regarding quotations, booking deposits, cancellations, statutory GST, and TCS compliance for outbound Indian travel.

1. Agency Role & Nature of Services

TravelIndia365.com operates as an Indian consultative travel agency and facilitator. We curate, negotiate, and coordinate international leisure packages by engaging verified overseas Destination Management Companies (DMCs), licensed transport providers, airlines, and independent hotel and resort properties across Vietnam, Bali, and Thailand. TravelIndia365 is not a common carrier, hotel proprietor, or immigration authority.

2. Quotation Validity & Price Fluctuation

All starting prices displayed on the website are indicative estimates calculated on twin-sharing occupancy during standard travel seasons and do not constitute a legally binding contractual offer. Official custom proposals are valid for the specific duration specified in writing on your quote schedule (typically 48 to 72 hours, though airline seat holds and peak hotel allotments may carry tighter deadlines). A binding reservation is established only once you approve the written proposal, provide passport copies, and remit the required initial booking deposit.

3. Taxation: Statutory Frameworks for GST & TCS

All outbound holiday transactions are subject to prevailing Indian statutory tax legislation, itemized transparently on every formal invoice:

  • Goods and Services Tax (GST): Applicable GST is charged on tour package service components in accordance with prevailing Indian GST legislation and rules governing tour operator services, itemized clearly on quotation schedules.
  • Tax Collected at Source (TCS): In compliance with prevailing Indian income tax legislation, applicable TCS is collected on qualifying overseas tour programme packages (subject to submission of an active PAN linked with Aadhaar). Applicable tax rates and collection rules vary depending on the package type, transaction category (such as retail holiday versus corporate travel), and regulatory provisions in force at the time of invoicing.
  • TCS Regulatory Treatment: Where mandated by law, collected TCS is deposited with the Government of India against the traveler’s PAN. Any eligibility to credit or adjust TCS against income tax liabilities, reflect in tax information statements (such as Form 26AS or AIS), or claim a refund is governed by prevailing Indian income tax laws, valid PAN status, and the customer’s individual tax filing circumstances.
  • Statutory Invoicing & Quotations: Active PAN submission is required for international travel bookings where statutory tax collection applies. Applicable GST and TCS amounts are transparently itemized on your written quotation schedule based on your specific travel arrangements prior to booking confirmation.

4. Passport Validity & Visa Responsibility

It is the sole legal responsibility of each traveller to hold an Indian passport with at least six (6) months validity remaining from the date of scheduled return to India, along with at least two (2) blank pages. While TravelIndia365 provides accurate e-visa filing instructions and document checklists, the decision to grant or deny an entry visa rests exclusively with the sovereign immigration authorities of Vietnam, Indonesia, or Thailand. TravelIndia365 is not liable for border entry refusals or airline boarding denials resulting from damaged passports or incomplete personal documentation.

5. Booking Deposits, Amendments & Cancellations

To confirm reservations, an initial deposit (typically 30% to 50% of the total package value, depending on airline ticketing deadlines and hotel cancellation cutoff dates) is required. Balance payments must be cleared prior to voucher issuance. Cancellation fees are governed by the specific terms of contracted suppliers:

  • Airlines: Governed by published airline fare cancellation and date-change penalties.
  • Overnight Cruises & Private Villas: Often enforce non-refundable cutoffs within 30 days of check-in during peak seasons.
  • Ground Transfers & Tours: Cancellations made outside 7 days of service are typically subject only to nominal administrative fees.

Exact cancellation milestone dates will be furnished in writing within your custom proposal prior to accepting any payment.

6. Travel Insurance Advisory

We strongly advise every traveller to obtain comprehensive overseas travel and medical insurance covering emergency hospitalization, flight cancellations, baggage loss, and trip interruption. Our destination specialists can assist with insurer coordination upon request.
